Booking Terms & Conditions

These conditions apply to all bookings made with Meqaat Travel we working with Travixum Ltd, company number 13555073, 30 Romford Road, Stratford, London E15 4BZ, ATOL number 12192. Please read them carefully. By paying a deposit you confirm that you have read and accepted them on behalf of everyone named on the booking.

Your contract

A contract is made when we receive your deposit and issue a booking confirmation. The lead name on the booking must be at least 18, has authority to accept these conditions for everyone in the party, and is responsible for all payments. The contract is governed by the laws of England and Wales.

Package holidays and ATOL protection

Most of our arrangements are package holidays under the Package Travel and Linked Travel Arrangements Regulations 2018. Packages that include flights are ATOL protected under ATOL number 12192. When you pay you will receive an ATOL Certificate listing what is protected. If we or any supplier fail, the ATOL scheme will refund you or, if you are abroad, arrange for your return home. For more information see atol.org.uk. Land-only arrangements without flights are not ATOL protected.

Prices and payment

  • A deposit of £50 per person is due at booking. Hajj: £200 per person, and any Nusuk payment deadline.
  • The balance is due 4 weeks before departure. If you book inside that period, full payment is due at booking.
  • If the balance is not paid on time we may cancel the booking and keep the deposit.
  • We accept bank transfer, debit and credit card.
  • Prices are per person and are confirmed on your booking confirmation. After confirmation we may only increase the price if the cost of fuel, taxes or exchange rates rise, and never within 20 days of departure. If the increase exceeds 8% you may cancel for a full refund.

Changes by you

If you want to change a name, date or hotel after booking, we will do our best. Changes are subject to availability, any charges made by airlines or hotels, and an amendment fee of £100 per person. Most airline tickets cannot be changed once issued and a name change may mean buying a new ticket.

Cancellation by you

You may cancel your booking by writing to us by email or letter. The date we receive your notice is the date of cancellation. The following charges apply, as a percentage of the total cost:

Visa fees, issued airline tickets and non-refundable hotel deposits are non-refundable once paid to the supplier, whatever the cancellation date. We will always tell you which parts of your booking are non-refundable before you pay.

Changes or cancellation by us

We rarely need to change or cancel a booking. If we make a significant change, such as a change of departure airport, a hotel further from the Haram than booked or a change of more than 12 hours to your flight time, we will tell you as soon as possible and offer a suitable alternative, a package of equal or higher quality, or a full refund. Flight times and airlines shown at booking are provisional and minor changes are not significant changes. If we cancel for reasons within our control we will refund you in full and pay compensation where the Regulations require it.

Hajj bookings

  • Hajj for UK pilgrims is arranged through the Saudi Ministry of Hajj and Umrah’s Nusuk Hajj platform. You must hold your own Nusuk account and complete your profile and payments by the Ministry’s deadlines. We will guide you but cannot control the platform.
  • Hajj packages, hotels, camp categories and dates are subject to allocation and approval by the Ministry. Where the Ministry changes an allocation we will offer the closest available alternative.
  • Hajj visas are issued at the Ministry’s discretion and are non-refundable once applied for.
  • You must attend the pre-Hajj briefing and follow the instructions of the group leader in Saudi Arabia.

Passports, visas and health

  • You must hold a passport valid for at least six months from the date of travel, with at least two blank pages. Non-British passport holders must check their own requirements with us and the Saudi authorities.
  • We apply for Umrah visas on your behalf, but approval is at the discretion of the Saudi authorities. If a visa is refused or delayed for reasons outside our control, cancellation charges in section 5 apply, and any visa fee is non-refundable.
  • You are responsible for providing accurate passport details. Errors that lead to a rejected visa or ticket are chargeable.
  • Saudi Arabia requires a meningitis ACWY vaccination for Hajj and may require other vaccinations or health checks. It is your responsibility to obtain these and carry the certificates.
  • If you have a medical condition, mobility need or are pregnant, tell us at booking so we can advise whether the package is suitable.

Travel insurance

We strongly recommend that everyone travelling takes out travel insurance that covers medical treatment in Saudi Arabia, cancellation and lost baggage. is not included in our packages. We can suggest a provider but do not sell insurance ourselves.

Your behaviour

You must respect the laws, customs and religious rules of Saudi Arabia and the instructions of our staff and group leaders. If your behaviour causes danger, distress or damage, we or the supplier may end your arrangements without refund and you will be responsible for any costs.

Our responsibility

We will perform the package with reasonable skill and care and are responsible for the proper performance of the services in your package. We are not responsible for failures caused by you, by a third party unconnected with the package, or by unavoidable and extraordinary circumstances such as war, terrorism, epidemic, natural disaster, adverse weather, or decisions of the Saudi authorities. Our liability for loss or damage is limited as permitted by the Regulations and by international conventions such as the Montreal Convention for air travel.

Special requests and assistance

Requests such as adjoining rooms, lower floors, dietary needs or wheelchair assistance will be passed to suppliers but cannot be guaranteed unless confirmed in writing. Wheelchairs are available for hire at both Harams.

Complaints

If you have a problem during your trip, tell our Saudi office or group leader straight away so we can put it right. If it is not resolved, write to us within 28 days of your return at [complaints email] with your booking reference and details. We will reply within 28 days.
